Communications Policy

At IPM, a Ricoh Company, we are committed to protecting the personal information you share with us. This statement outlines our privacy policy regarding the information you provide us when you accept our current conditions on sending marketing communications. The user, by accepting these general conditions with positive and explicit consent, understands and accepts that their personal contact details will be processed in the following ways:


Purposes of data collection 

Sending marketing communications either by phone or by email: relevant to the products or services that may: i) market IPM, a Ricoh Company, ii) market any of the companies within the IPM, a Ricoh Company and TotalStor, a Ricoh Company, whose activities fall under the Royal Legislative Decree 1/2007, 16th November, which approves the revised text of the General Law for the Protection of Consumers and Users and other relevant laws, as well as any other laws that could modify or replace it. The User may choose, at any time, the channels or means by which they wish to receive, or not, the communications indicated.


  1. a. Marketing communications:

IPM, a Ricoh Company, processes personal information that has been provided (both contact details and personal data, such as date of birth) to improve customer service, to send selected information on IPM, a Ricoh Company, products and services, and to carry out market research.

IPM, a Ricoh Company, may share this personal data with specific entities within the IPM, a Ricoh Company and TotalStor, a Ricoh Company, who will use it to contact the user for the purposes indicated. Updates to the information may also be shared with these specific entities.


  1. b. Analysis and profiling:

Automatic profiling with the aim of offering products according to the needs of users. IPM, a Ricoh Company, informs you that: i) no legal or discriminatory consequences arise from profiling as a result of processing sensitive information such as race, ethnic origin, religion, politics, health or sexual orientation, as this information is not included in the processing, ii) it is your right to intervene in processing, express your point of view and request an explanation for the decisions made based on the automated processing, and to challenge said processing by contacting our DPO (, iii) the logic applied is based on a proactive risk assessment and applying statistical techniques and customer segmentation for the following purposes: a) to analyse products and services that could be tailored to your profile and to ensure marketing communications are more relevant to you, b) to track products and services purchased, c) to carry out customer satisfaction surveys by phone or email to evaluate our services, d) to design new products or services, or to improve the design and usability of existing services and determine or improve user experience.

The user, if available, authorises the incorporation of profiles that are created about them and the data personally provided, such as: contact details (name, address, email); identification data (first name, surname, phone number, email); customer history (such as which offers they have received, dates of the purchase of complementary products or services offered by IPM, a Ricoh Company); data from the app, website or social network data (such as data on the use of online queries or information requests).


Data retention period

If a User exercises their right to revoke or withdraw their consent from the use of their personal data to send our newsletter and subsequent advertising, this will be completed by IPM, a Ricoh Company, in maximum of 72 hours.


Lawful basis for processing

The lawful bases for processing personal data in this case is consent provided by the user when accepting the Privacy Policy on communications. 


Exercising your rights 

You have the right to enquire whether IPM, a Ricoh Company, processes your data or not, free of charge, as long as the legal requirements are met. You have the right to access your personal data, to request the rectification of inaccurate data, or, where appropriate, request the deletion of your data when, among other reasons, the data is no longer necessary for the purposes for which it was collected. Likewise, you have the right to request a limitation on the processing of your data, in which case we will only store your information in order to fulfil your request or defend a claim, or for compelling legitimate interests.

In certain circumstances and for reasons related to your particular situation, you may object to the processing of your data. IPM, a Ricoh Company, will then stop processing your data, except in the case of compelling legitimate interests, or to fulfil your request or defend a claim.

In all communications for the purposes of marketing or advertising, you can exercise your right to object. In the cases when you grant your consent, you may withdraw it at any time.
